Whether you're booking a session, joining a workshop, subscribing to my newsletter or simply getting in touch, I believe your personal information should be treated with the same care, respect and integrity as the conversations we have together.
This Privacy Policy explains what information I collect, why I collect it, how I use it and the steps I take to keep it safe. I aim to be open and transparent about how your information is handled, and I will never sell or rent your personal data to anyone.
Bold Soul Coaching is committed to protecting your privacy and handling your personal information in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and other applicable privacy laws.
Who I Am
Bold Soul Coaching is the trading name of Thea Anderson, a sole trader based in Cornwall, United Kingdom. Bold Soul Coaching offers Life & Soul Coaching, Therapeutic Guidance, NLP, Intuitive Guidance and readings, alongside workshops, events, courses and writing.
The information collected and processed through this website relates to these services and the ways in which you choose to interact with Bold Soul Coaching.
For the purposes of data protection law, I am the Data Controller. This simply means I am responsible for deciding how and why your personal information is collected and used.

When you book an appointment through my online booking system (Acuity Scheduling), I may collect information such as:

Responses to my client questionnaire
The questionnaire is designed to help me prepare for our work together. It may include information about your goals, current circumstances, life experiences, family background or other personal matters that you choose to share.
Some questions, such as your age or where you live (county or country), are entirely optional. You are never required to disclose more information than you feel comfortable sharing.
If we agree to have a session by telephone, I may use the phone number you provide for this purpose. I will only use your contact details in this way where it is necessary for our agreed session or where you have given permission for this method of communication.
During our work together
As part of providing coaching and related services, you may voluntarily share personal information about your life, relationships, wellbeing, beliefs, aspirations or challenges.
I only collect information that is relevant to supporting you through the services you have chosen to receive.
While I am currently training to become a counsellor, the services I provide at present are coaching and related wellbeing services. They are not counselling, psychotherapy or mental health treatment.
Session Notes
To help me support you effectively, I may make brief handwritten notes following a coaching session. These notes are kept to a minimum and contain only information that is relevant to our work together or to future sessions.
I do not store these session notes online. They are kept securely and confidentially and are only accessible to me.
I regularly review these notes and securely dispose of them when they are no longer needed. I do not retain session notes indefinitely.
Recordings, Images and Event Content
Occasionally, with your explicit permission, I may create recordings of coaching sessions, workshops, courses or events.
For example, a client may request a recording of their own session for personal use, or I may record parts of a workshop or course where participants have agreed to this in advance.
I will only make recordings or use images/videos of individuals where appropriate consent has been given. You will always have the option to decline being recorded or photographed.
Any recordings or images will be handled carefully and only used for the purpose explained at the time consent is given.
Where recordings are shared with you, they may be provided through a secure file-sharing service such as WeTransfer. You are responsible for storing and using any recordings you receive appropriately.
I will review recordings and event content regularly and securely delete anything that is no longer needed.

I use this information to send occasional newsletters, reflections, updates, upcoming events and information about my services. You can unsubscribe at any time by clicking the unsubscribe link in any email or by contacting me directly.

Who I Share Your Information With
I respect your privacy and will never sell, rent or trade your personal information.
I only share information with trusted third-party providers where it is necessary for me to provide my services, manage my business, process payments or meet legal obligations.
These providers process information in accordance with their own privacy policies and have their own security measures in place.
The services I currently use include:
Acuity Scheduling
I use Acuity Scheduling to manage appointments and bookings. When you book a session, your name, contact details, appointment information and any responses you choose to provide through my booking questionnaire may be processed through this service.
Squarespace
My website is hosted through Squarespace. Squarespace may process personal information when you visit my website, submit forms, sign up for communications or interact with website features.
Mailchimp
I use Mailchimp to manage my newsletter mailing list and send newsletters, reflections, updates, events and information about my services.
Your information is only added to my mailing list where you have chosen to subscribe or have otherwise given permission to receive communications. You can unsubscribe at any time.
Payment Providers
Payments may be processed through bank transfer, Stripe or PayPal.
I do not have access to your full payment card details. Payment information is processed securely by the relevant payment provider according to their own privacy policies.
Zoom
I may use Zoom to provide online coaching sessions, workshops, courses or other services.
If you choose to attend a session through Zoom, some personal information may be processed by Zoom in order to provide the service, such as your name, email address and technical information needed to facilitate the meeting.
Where you choose this method of communication, I may use WhatsApp to communicate with you about practical arrangements relating to sessions.
Using WhatsApp is always optional, and you are welcome to continue communicating with me by email if you prefer.
Please be aware that WhatsApp is a third-party messaging service and your use of it is subject to WhatsApp's own privacy policies and terms.
International Data Transfers
Some of the third-party services I use may process personal information outside the United Kingdom, including in countries such as the United States. Where this happens, I take reasonable steps to ensure appropriate safeguards are in place to protect your information in accordance with UK data protection law.
Keeping Your Information Secure
I take reasonable steps to keep your personal information safe and protected from loss, misuse, unauthorised access or disclosure.
This includes:
Keeping paper notes and records securely stored.
Limiting access to your information.
Using trusted service providers with appropriate security measures.
Regularly reviewing the information I hold and securely deleting information that is no longer needed.
While I take care to protect your information, no method of storing or transmitting information online can be guaranteed to be completely secure.
How Long I Keep Your Information
I only keep your personal information for as long as it is needed for the purpose it was collected.
In general:
Client records and session information are kept for up to six years after your final session and are then reviewed and securely deleted when no longer required.
Financial records are kept for six years in line with UK tax and accounting requirements.
Newsletter subscriptions are kept until you unsubscribe or ask me to remove your details.
General enquiries are kept only for as long as necessary to respond to your enquiry and provide any follow-up information you have requested.
I regularly review the information I hold and securely dispose of anything that is no longer needed.
